POSITION SUMMARY:

The Safety and Quality Coordinator supports the Safety Manager and Director of Operations in administering the company’s safety, quality and flight training program and ensuring compliance with Occupational Health and Safety (OSH) regulations. This role involves monitoring workplace activities, enforcing safety policies, promoting a culture of safety across the organization, internal auditing of the company's Safety Management System (SMS), flight crew training files and customer standards. Key responsibilities include leading safety orientations for new hires, participating in and documenting safety meetings and audits, maintaining incident records, internal auditing schedule. The Safety and Quality Coordinator also provides ongoing guidance to staff on safety protocols. This position plays a vital role in preventing workplace injuries and maintaining a safe working environment. 


RESPONSIBILITIES & DUTIES:

  • The Safety & Quality Coordinator provides support to the safety manager and director of operations.
  • Enforces Occupational Health and Safety (OSH) policies.
  • Attends and documents all safety meetings to ensure that the company is in compliance and adheres to OSH guidelines to reduce work-related injuries.
  • Manages meeting schedules/calendars.
  • Conducts internal audits on the company's safety management system.
  • Conducts internal quality checks on flight crew training files.
  • Updates to pilot qualification reports and training records.
  • Participation in external audit preparation.
  • Monitor safety-related activities at work to ensure staff are following the safety guidelines set by the company and intervene in unsafe activities or operations.
  • Advise and lead employees on various safety-related topics.
  • Go over safety orientation with new hires.
  • Participate with due diligence in OSH and SMS investigations.
  • Coordinate with OSH teams and staff members during internal and external Safety Audits.
  • Participate in safety campaigns throughout the year from time to time to freshen up safety moments.
  • Additional office administration duties such as credit card receipt tracking and office supply orders, and other duties as assigned.


PHYSICAL WORKING ENVIRONMENT:

  • Office environment.
  • Intense activity during peak periods.


REQUIREMENTS:

Formal Education Requirements

  • High School, College diploma or University degree.

Related Work Experience Requirements

  • At least 2 years working as a Safety Coordinator or equivalent.
  • Experience in aviation is an asset.

Licenses / Certificate Requirements / Courses

  • Valid driver's license.
  • Safety Investigation Training, and Quality Assurance training an asset.

  • Standard office equipment

Computer Software Utilized

  • Microsoft Office applications, including e-mail, Microsoft Excel, PowerPoint, SharePoint, Internal software systems (in house training will be made available)

PARTICULAR SAFETY REQUIREMENTS

  • Must be aware of and compliant with a wide variety of company safety processes and procedures, such as, but not limited to, those outlined in the company Operations Manual, MCM, MPM, Air Crew Reference Manual, IRSMS and Aviation Safety Manuals, Refuelling and other manuals.
  • WHMIS controlled substances.
  • Must be aware of dangerous goods.
